Move Your Company File From One Computer To Another Computer

It’s neither practical nor possible to use the same computer to run your QuickBooks Payroll for years to come. Everything suffers wear and tear with time and electronics are no exception to it. With the latest QuickBooks Payroll Updates coming every now and then, you can’t possibly expect them to be compatible with a decade old computer.

There are times when a User will have to move his/her QuickBooks Payroll from one computer to another without losing any of the data. For this reason Intuit has created this guide using which every User can move his QuickBooks Payroll and company file from one system to another. If this procedure complex to you and you are not that tech savvy, you can just dial the QuickBooks Customer Contact Number and the QuickBooks Experts will assist you.

Are you using QuickBooks Desktop, single user ONLY and want to move your QuickBooks and the company file?

Solution 1: Backup and Restore Your File

  • Create a backup of your files on the current computer.
  • Verify that QuickBooks Desktop is installed on the new computer.
  • Use a Flash drive or External Storage device to copy the backup file from your old computer to the new one.
  • Restore the backup file on the computer that you want to move your files onto
  • Go back to your old computer and uninstall QuickBooks Desktop.

Note: Data from add-ons like Fixed Asset Manager (applies to the US only) or Loan Manager may not be included in the backup. So you will have to move and restore them separately. Please refer to “Restore custom templates and forms missing from a restored backup”.

Solution 2: Restore using Intuit Data Protect (applies to the US only)

  • Create a backup of your files on the old computer
  • Verify that QuickBooks Desktop is installed on the new computer.
  • On your new computer, sign in in to Intuit Data Protect (IDP).
  • Use IDP to restore the backup files.
  • Before starting to use the QuickBooks on your new computer, uninstall QuickBooks from your old computer.

  • Locating the company file

File open on your QuickBooks: Press F2 on your keyboard to get the location

File closed: Open QuickBooks, you shall be able to see the file path in the No Company Open Window.

  • Copy the entire folder and paste it into an external data storage device such as a Thumb drive and paste it on the new computer.
  • Launch QuickBooks Desktop and you should be able to open your file.

QuickBooks offers a plethora of services for every accounting need and it has been widely appreciated for that. Resolving QuickBooks Error 6189, -83

QuickBooks Error 6189,-83 error is a part of the QuickBooks 6000 error series. These errors generally show up when you are trying to open your company file. The error consists of two numbers separated by a comma and a message indicating that you are unable to open the company file.

A few examples of error from the -6000 series are:

  1. -6176,0
  2. -6000,-107
  3. -6000,-1076
  4. -6010,-100
  5. -6138,-105

The solution for the error is given in two different modes of accessing the company file i.e. locally and over the network.

If you are accessing the company file locally then follow these steps to solve the error

Solution 1 : Renaming the .ND and .TLG files

  1.  ND and .TLG files are configuration files that allow QuickBooks to gain access to a company file in a network or multi-user environment. If any of these files get damaged or corrupted, you won’t be able to access your company file and also get the error 6189, -83 on your screen. These files are auto-generated when you rescan using the QuickBooks Database Server Manager and open your company file.
  2. Look for the folder which contains your company file and open it.
  3. Carefully look for the files which have the exact name as your company file but with extensions .ND and .TLG. e.g Royce_services.qbw.nd, Royce_services.tlg
  4. Rename both the files and add .OLD at the end of each file name. To rename the file right click on it and then select RENAME. e.g Royce_services.qbw.nd.OLD
  5. Go to your home screen and open the QuickBooks using the desktop icon and try to access your company file. If the error still exists then proceed to solution 2.

Solution 2 : Open a Sample Company File

  1. Open your QuickBooks.
  2. Navigate to No Company Open window and click on Open a Sample File and choose a random company file.
  3. If the same error message pops up on your screen then you have to repair your QuickBooks installation files.
  4. If the sample file opens, proceed to solution 3. By opening a sample company file we have just tested whether the problem is with your company file or the QuickBooks application.

Solution 3 : Copy the QuickBooks Company File on the Desktop

We are copying the Company file on desktop to check whether the problem lies in the location of the company file. If the company file opens after pasting it on the desktop that will imply that the problem lies in the location of the company file. If the company file still doesn’t open, that will imply that the Company file is damaged.

  1. Go to the location of your company file.
  2. Look for a file with extension .QBW.
  3. Copy the file by pressing the keys Ctrl and “C” on your keyboard simultaneously or right click on the file and click on Copy.
  4. Paste the file on your desktop.
  5. Go to the No Company Open window in your QuickBooks. Press and hold Ctrl key while opening your QuickBooks to go directly to No Company Open window.
  6. Click on Open or restore an existing company and navigate to the file that you have just pasted on your desktop.
  7. If the same error still appears on your screen, proceed to solution 4.

Solutions 4 :

It is clear that the problem is not with the location of the file as we tested it in the third solution; we will check if the problem is with your current state of your Company file by restoring a backup copy of the company file. If you face an error while restoring the backup, follow these steps:

  • If your computer is not hosting, open the company file.
  • File menu > Utilities
  • Select the Stop Hosting Multi-User Access.
  • Click on “Yes” under Stop Hosting Multi-User Access window and in the Company File must be closed window.
  • Go to the location of the company file and copy the path of the file and paste it in a notepad file, if the address is more than 200 characters long move the file in a different location.
  • Retry restoring the company file.
  • If the problem remains the same, proceed to solution 5.

Solutions 5 : Restore your Backup by Using ADR

  • Intuit recommends to recover lost data with QuickBooks Auto Data Recovery tool if the company file gets damaged.

If you are trying to access the Company file over a network then follow the below-given solutions.

Solutions 1 : Check if Hosting is turned on, on all workstation

  1. QuickBooks recommends having Server/PC to host the company files.
  2. Open your QuickBooks.
  3. Press F2 on your keyboard to open the Product Information.
  4. Search for Local Server Information. Hosting should be turned off.

Solutions 2 :

  1. .ND and .TLG files are configuration files that allow QuickBooks to gain access to a company file in a network or multi-user environment. If any of these files get damaged or corrupted, you won’t be able to access your company file and also get the error 6189, -83 on your screen.
  2. Look for the folder which contains your company file and open it.
  3. Carefully look for the files which have the exact name as your company file but with extensions .ND and .TLG. e.g Royce_services.qbw.nd, Royce_services.tlg
  4. Rename both the files and add .OLD at the end of each file name. To rename the file right click on it and then select RENAME. e.g Royce_services.qbw.nd.OLD
  5. QuickBooks company files are hosted by Database Server Manager. You should restart the DBSM and rescan the QuickBooks files after you rename the .ND and .TLG files.
  6. StartĂ All ProgramsĂ QuickBooksĂ QuickBooks Database Server Manager.
  7. Click on Scan Folders tab.
  8. Click on Add folder and then click on scan.
  9. Look for the company file at the bottom and if it shows, open that file again.
  10. Open your QuickBooks and try to open your company file again. If the same error comes on your screen, proceed to solution 3.

Solutions 3 : Open a sample company file locally installed on a workstation

  1. By opening a sample company file we will test whether the problem is with your company file or the QuickBooks application. If a sample file doesn’t open, that will imply that QuickBooks installation is damaged.
  2. Open your QuickBooks.
  3. Navigate to No Company Open window and click on Open a Sample File and choose a random company file.
  4. If the same error message pops up on your screen then you have to repair QuickBooks installation files. See: Repair QuickBooks in Windows 8, 7, Vista and XP. If the sample file opens, proceed to solution 4.

Solutions 4 : Open the company file locally

We are opening the file locally to test whether the problem lies in the location of the file or the file itself. If the file opens while it is saved on the desktop, it means the location of the file was damaged or it is “too deep” i.e. it exceeded the file system path limitation.

  1. Go to the location of your company file.
  2. Look for a file with extension .QBW.
  3. Copy the file by pressing the keys Ctrl and “C” on your keyboard simultaneously or right click on the file and click on Copy.
  4. Paste the file on your desktop.
  5. Go to the No Company Open window in your QuickBooks. Press and hold Ctrl key while opening your QuickBooks to go directly to No Company Open window.
  6. Click on Open or restore an existing company and navigate to the file that you have just pasted on your desktop.
  7. If the same error still appears on your screen, proceed to solution 5.

Solution 5 : Close all QuickBooks Processes

  1. Log in as an Administrator on the server computer.
  2. Open up the Task Manager by pressing the Ctrl + Shift + Esc.
  3. Select Users to see all the processes started by all users.
  4. Select all QuickBooks processes like QBW32.exe, qbupdate.exe, QBDBMgr.exe and then click on End Task.
  5. Open the company file in Multi-User mode.
  6. If you face the same error, please proceed to solution 6.

Solution 6 : Manually check the Folder Permissions

How To Fix QuickBooks Error 6189, 816?

Users generally have to face this error when they are trying to open the company file. They get this error message on their screen, “An error occurs when QuickBooks tried to access the company file. (-6189,-816)”

This means that your company file is not accessible. This could happen for a lot of reasons:

  • You are using a file sharing service.
  • If a Company file was recently updated without its transaction file.
  • If another User is accessing the same Company Files on a Single user mode

If you use your QuickBooks in a multi-user environment, make sure of the following things:

  • Using a File sharing service

Intuit doesn’t recommend using a file sharing service like Box.net, SugarSync, Dropbox, or any other service for your QuickBooks company file. These online file sharing services have some utilities which cause problem when used with QuickBooks company files. If you want to stay away from such problems move your company files to a local storage. You can also opt for QuickBooks Online if you want to use QuickBooks from multiple locations.

  • Your data file is not stored on a network drive

Make sure that your company file is not saved on a Network Attached Storage (NAS) device or other removable device. These devices are not appropriate to run QuickBooks Database manager and instances have come up when these devices have caused damage to company files.
