It’s neither practical nor possible to use the same computer to run your QuickBooks Payroll for years to come. Everything suffers wear and tear with time and electronics are no exception to it. With the latest QuickBooks Payroll Updates coming every now and then, you can’t possibly expect them to be compatible with a decade old computer.

Move Your Company File From One Computer To Another ComputerThere are times when a User will have to move his/her QuickBooks Payroll from one computer to another without losing any of the data. For this reason Intuit has created this guide using which every User can move his QuickBooks Payroll and company file from one system to another. If this procedure complex to you and you are not that tech savvy, you can just dial the QuickBooks Customer Contact Number and the QuickBooks Experts will assist you.

Are you using QuickBooks Desktop, single user ONLY and want to move your QuickBooks and the company file?

Then, read “Moving or reinstall QuickBooks Desktop to another computer”.

Note: QuickBooks Desktop license is not affected when you move your company file to another computer.

Reminders:

  • Ensure that you download the latest tax table after you move your file.
  • Avoid overwriting your company file.
  • If you have attached any documents, the files will not be available until moved manually.
  • This article is a guide for how to move your files from one computer to another.
  • Avoid using the wrong file on the old computer. Rename it before you use it.

Solution 1: Backup and Restore Your File

  • Create a backup of your files on the current computer.
  • Verify that QuickBooks Desktop is installed on the new computer.
  • Use a Flash drive or External Storage device to copy the backup file from your old computer to the new one.
  • Restore the backup file on the computer that you want to move your files onto
  • Go back to your old computer and uninstall QuickBooks Desktop.

Note: Data from add-ons like Fixed Asset Manager (applies to the US only) or Loan Manager may not be included in the backup. So you will have to move and restore them separately. Please refer to “Restore custom templates and forms missing from a restored backup”.

Solution 2: Restore using Intuit Data Protect (applies to the US only)

  • Create a backup of your files on the old computer
  • Verify that QuickBooks Desktop is installed on the new computer.
  • On your new computer, sign in in to Intuit Data Protect (IDP).
  • Use IDP to restore the backup files.
  • Before starting to use the QuickBooks on your new computer, uninstall QuickBooks from your old computer.

  • Logos and images files
  • Transaction log (.tlg) files
  • Network data (.nd) files
  • Cash Flow Projector (.cfp) files
  • Loan Manager (.lmr) files
  • Business Planner (.bpw) files (QuickBooks Desktop Premier and Enterprise only)
  • QuickBooks letters and templates
  • Spell checker
  • Fixed Asset Manager
  • Printer setting
  • QuickBooks Statement Writer (Premier Accountant and Enterprise only)

Solution 3: Move the Entire QuickBooks Data Folder

  • If you want to move your files without taking a backup of them first, you can do that too. Move the entire folder to the desired location but keep in mind that some of the files will not be carried over.
  • Locating the company file

File open on your QuickBooks: Press F2 on your keyboard to get the location

File closed: Open QuickBooks, you shall be able to see the file path in the No Company Open Window.

  • Copy the entire folder and paste it into an external data storage device such as a Thumb drive and paste it on the new computer.
  • Launch QuickBooks Desktop and you should be able to open your file.

Restore Custom Templates and Forms Missing:

  • Search for a folder named as Restored_Company_Files on the computer where you restored the backup file.
  • Copy the files and paste them in the locations given below carefully.
    • QuickBooks Letters and Templates : C:\Program Data\Intuit\QuickBooks [version]\QuickBooks Letter Templates
    • Printer Setting (PrintEng.ini, wpr.ini, and QBPrint.qbp : C:\Program Data\Intuit\QuickBooks [version]
    • Spell Checker (spell.ini and UserDictionary.tlx) : C:\Program Data\Intuit\QuickBooks [version]
    • Financial Statement Designer (FSD clients) : C:\Program Data\Intuit\Intuit\QuickBooks\Company Files\FSD\Clients
    • Financial Statement Designer (FSD data) : C:\Program Data\Intuit\QuickBooks [version]\Components\FSD\Data
    • Cash Flow Projector (.cfp) : [Company Name].qbw
    • Business Planner (.bpw) : [Company Name].qbw
    • Loan Manager (.lmr) : [Company Name].qbw
