Step 1: Update your QuickBooks to The Latest Release

  1. Open your QuickBooks and update it to the latest release. Ensure that your QuickBooks product is selected. If t is not selected then click on “Choose a different product” and select your product.
  2. Choose one from “Automatic Updates” or “Manual Updates” and follow the instructions on your screen.

Step 4: Scanning the Company Files

  1. Go to the location where your company files are stored and search for Network Descriptor (.nd) file. This file contains information regarding the computer which is hosting the file.
  2. Press the Windows Key on your Keyboard or click on the Windows Start button.
  3. Navigate to Programs>QuickBooks>QuickBooks Database Server Manager.
  4. Click on “Add Folder” and browse to the folders which contain the company files.
  5. After you are done adding all the folders, click on “Scan”.
  6. Click on close and go to the folders where the company files are stored. Verify that a .QBW.ND file was created for each of the company data files.
  7. If you can’t see the QuickBooks Database Server Manager in the program list, you will have to uninstall QuickBooks and reinstall it. Select the second option which states “I’ll be using QuickBooks on this computer, AND I’ll be storing our company file here so it can be shared over our network.”
  8. Move on to the next solution if that didn’t work for you.

Step 5: Verify The Hosting

The only computer which will have the hosting feature turned on should be the one with QuickBooks Database Server Manager installed.

Computer Workstations:

  1. Open your QuickBooks.
  2. Go to File>Utilities, if you see Host Multi-Users Access on the list, this means that this computer is not hosting the company file. Move on to the next computer.
  3. If you are able to see “Stop Hosting Multi-User Access”, select that and click on “Yes” to stop hosting.
  4. Click on “Yes” again to continue and move to the next computer.

Server:

  1. Open your Task Manager by right-clicking on the taskbar on your screen.
  2. Search for QBDBMgrN.exe in the image name column. The list can be alphabetized by clicking on the column heading.
  3. If you are not able to see QBDBMgrN.exe, make sure that the QuickBooks service is on the computer and it is running as well. For that, Login as an Administrator and click on the Start button. Type in “services.msc” in the open field in run and hit enter. Make sure that the startup type is automatic, and the services are running. If the services are not running, right click on it and select “Start”. If the services are running but they are not “Automatic”, double-click on it and select “Automatic” from the drop-down menu.
  4. Open the Username column and make sure that the entry is correct in QBDBMgrN.exe row. The entry should be QBDataServiceUser23 or QBDataServiceUser23 depending upon the version of your QuickBooks.
  5. If the error is still coming move on to the next step.

Step 6: Check for data damage in various locations

Move Your Company File From One Computer To Another Computer

It’s neither practical nor possible to use the same computer to run your QuickBooks Payroll for years to come. Everything suffers wear and tear with time and electronics are no exception to it. With the latest QuickBooks Payroll Updates coming every now and then, you can’t possibly expect them to be compatible with a decade old computer.

There are times when a User will have to move his/her QuickBooks Payroll from one computer to another without losing any of the data. For this reason Intuit has created this guide using which every User can move his QuickBooks Payroll and company file from one system to another. If this procedure complex to you and you are not that tech savvy, you can just dial the QuickBooks Customer Contact Number and the QuickBooks Experts will assist you.

Are you using QuickBooks Desktop, single user ONLY and want to move your QuickBooks and the company file?

Reminders:

Solution 1: Backup and Restore Your File

  • Create a backup of your files on the current computer.
  • Verify that QuickBooks Desktop is installed on the new computer.
  • Use a Flash drive or External Storage device to copy the backup file from your old computer to the new one.
  • Restore the backup file on the computer that you want to move your files onto
  • Go back to your old computer and uninstall QuickBooks Desktop.

Note: Data from add-ons like Fixed Asset Manager (applies to the US only) or Loan Manager may not be included in the backup. So you will have to move and restore them separately. Please refer to “Restore custom templates and forms missing from a restored backup”.

Solution 2: Restore using Intuit Data Protect (applies to the US only)

  • Create a backup of your files on the old computer
  • Verify that QuickBooks Desktop is installed on the new computer.
  • On your new computer, sign in in to Intuit Data Protect (IDP).
  • Use IDP to restore the backup files.
  • Before starting to use the QuickBooks on your new computer, uninstall QuickBooks from your old computer.

Solution 3: Move the Entire QuickBooks Data Folder

  • If you want to move your files without taking a backup of them first, you can do that too. Move the entire folder to the desired location but keep in mind that some of the files will not be carried over.
  • Locating the company file

File open on your QuickBooks: Press F2 on your keyboard to get the location

File closed: Open QuickBooks, you shall be able to see the file path in the No Company Open Window.

  • Copy the entire folder and paste it into an external data storage device such as a Thumb drive and paste it on the new computer.
  • Launch QuickBooks Desktop and you should be able to open your file.
